About the role
Our exceptional Business Services team are the first point of contact for the firm and integral to our daily operations – assisting Partners, staff, clients and guests alike as soon as they step onto our first-class premises. With an excellent team, people-focused leaders and leading international brand behind you, this role is an excellent opportunity for a corporate facilities professional to take their next step.
This role has oversight of key operational tasks for the firm including deliveries, assistance with office moves, re-stocking supplies and maintaining utility bays and shared storage and spaces. With your background in facilities/mailroom/operations as well as your attention to detail, you will also be tasked with ensuring all office shared spaces and internal meeting rooms are well presented, safe and secure.
Standard working hours will be 10:00 a.m. – 6:00 p.m. Monday to Friday, with very little overtime.
Key responsibilities will include:
Manage stock of stationery cupboards and consumables for the utility bays, including archive materials
Manage the valet service
Daily tenancy checks and maintenance on designated floors, ensuring spaces are clean and ready for use and any issues are rectified in a timely manner
Liaise with Building Management regarding any tenancy service requests
Liaising with external suppliers
Responding to client (internal and external) requests efficiently and effectively
Process archiving and manage the retrieval and lodgement of boxes/files from KWM storage facilities, ensuring all records are entered accurately in Elite, in accordance with internal client service level agreements
Assist with the delivery and collection of archive boxes and/or files to our internal clients and other deliveries as required
Actively manage storage in response to matter requirements
Ensure sufficient numbers of First Aid Officers and Fire Wardens are allocated per floor and all relevant documentation is up to date
Replacing desk signage, floor plans, emergency posters and other internal signage
Auditing floor plans to ensure accuracy and forecasting practice team requirements to ensure needs are met
Contributing to the continuous improvement of the department and enhancement of our client service levels
Ensuring the tenancy is a safe and secure environment for all KWM people, clients and visitors
Undertaking other tasks and projects as requested by the Business Services Manager or Head of Business Services & Premises
What experience are we looking for?
Experience in a similar role or a role with transferable skills
Excellent client service skills, demonstrating professionalism and courtesy at all times
Experience in a professional services or legal environment (desirable)
Good computer literacy and knowledge of MS Office software
Physical ability to lift and transport boxes weighing up to 16kg
Sound written and verbal communication skills, with the ability to tailor communication to different audiences
Strong time management skills and the ability to multitask
Demonstrated team focus and ability to build relationships with peers and stakeholders
A flexible, proactive approach to work hours and tasks with the ability think logically, problem solve, and take initiative
